Non-Profit case study
CoSA Foundation CRM
Inside the build
From constraint to working system.
The challenge
What had to change
The Council on Stage Arts (CoSA) Foundation managed donor relationships and student enrollments across disconnected spreadsheets and manual email threads. Renewal reminders were missed, donor lifetime value was invisible, and the administrative team spent 30+ hours per week on data reconciliation instead of relationship-building.
Our solution
The product response
We built a purpose-built CRM specifically for non-profit performing arts organizations - combining donor lifecycle automation, enrollment management, event ticketing, and custom reporting in one platform tailored to the CoSA workflow.
Architecture & approach
How the system was shaped
The CRM is built on a Next.js frontend with a Node.js/Firestore backend. Donor records are linked to family units and student enrollments, creating a 360-degree view of each household. Automated email sequences trigger on donation anniversaries, program deadlines, and renewal windows. An admin dashboard provides real-time fundraising pipeline visibility and segment analytics.

- Family/student enrollment linking for household-level insights

The outcome
Within 6 months of launch, CoSA saw a 300% increase in donor re-engagement rates and an 80% reduction in administrative overhead. The development team was freed from manual reporting, enabling them to launch two new fundraising campaigns that together raised $120K above the prior year.
